Job Description – Document Controller
Location: Ireland, County Donegal
Reports to: Project Manager / Contracts Manager

Role Overview

The Document Controller is responsible for managing, organising, and maintaining all project documentation to ensure accuracy, compliance, and accessibility across the project lifecycle. The role supports project teams by ensuring that all drawings, reports, and records are up to date and distributed efficiently to relevant stakeholders.

Key Responsibilities

  • Manage and maintain the document control system for construction projects
  • Register, track, and distribute all incoming and outgoing project documentation
  • Ensure proper version control, approvals, and audit trails are maintained
  • Upload, store, and organise drawings, specifications, reports, and correspondence
  • Ensure all documentation complies with company procedures and ISO standards
  • Maintain accurate document registers and filing systems (electronic & hard copy)
  • Distribute updated documents to site teams, consultants, and clients in a timely manner
  • Support the production of reports and documentation for project reviews and audits
  • Coordinate document review and approval workflows with engineers, architects, and managers
  • Assist in compiling handover documentation (O&M manuals, as-builts, etc.)
  • Provide support during audits, inspections, and compliance reviews
  • Act as the main point of contact for document-related queries

Key Requirements

  • Previous experience as a Document Controller in construction or engineering projects
  • Strong understanding of document control systems and procedures
  • Experience with EDMS platforms (e.g. Viewpoint, Procore, Asite, Aconex or similar)
  • Excellent attention to detail and organisational skills
  • Ability to manage large volumes of technical documents (drawings, specs, reports)
  • Strong communication skills with the ability to liaise across multidisciplinary teams
  • Proficient in Microsoft Office (Excel, Word, SharePoint)
  • Knowledge of ISO standards / quality systems (advantageous)
